founded?
CTech was founded in 1998 to meet
the increasing demand for cost-effective, high-quality medical
transcription for acute care facilities and physician group
practices.

CTech services large health system
accounts, small, medium and large acute care facilities, surgery
centers, and physician group practices. We service all work
types and all specialties.

Describe the dictation to
delivery process?
Dictators use telephones or other
devices to dictate into our dictation system. Commands are
set to feed the dictations to the medical transcriptionists
based on agreed upon turnaround times and volumes. The medical
transcriptionist transcribes the dictation via our software.
The document workflow process now takes over and depending
on each client’s needs it is then delivered.

Can you emulate current dial-in
features so dictators don’t have to change?
Yes. During our Discovery Phase with
each new client, we will ask for your current dictating instructions
and those will be emulated so physicians do not have to change.

Do you do both domestic and
offshore medical transcription outsourcing?
Yes. CTech does offer both full domestic
medical transcription outsourcing solutions and full offshore
medical transcription solutions. We also encourage clients
to take advantage of our “blended” option of both domestic
and offshore. The blended approach can offer significant cost
savings with excellent quality to clients. CTech does practice
full disclosure to its clients and will abide by any contract
language that is in place concerning domestic and offshore
resources.

Does CTech own any offshore
offices?
CTech owns and operates its subsidiary
CTech InfoSolutions Private Limited in New Delhi, India. They
are employees of CTech just as any US-based employee with
similar benefits.

What type of transcription
system do you use?
CTech partners only with the best.
We have chosen Crescendo Systems Corporation as our dictation
and transcription platforms.

Do you provide toll-free lines
for dictation?
Yes.
|

Do you provide automated print/fax
routing of reports?
Yes.
|

Do you use back end speech
recognition?
We do. Our back end speech recognition
solution is also a Crescendo product. Speech is only utilized
for applicable accounts and dictators.

Is electronic signature available
to physicians?
Yes. This is done via the web.

|
How are reports sent back to
a facility?
Preferred method is a LAN to LAN
VPN connection between facilities. This provides security,
reliability and flexibility.

Describe the staff that is
dedicated to my account?
Each client has a dedicated group
of medical transcriptionists dedicated to their account according
to their volumes and turnaround times. Clients are also assigned
an Account Supervisor and Quality Assurance staff. Each new
implementation is assigned a Project Manager and a technology
resource to bring the account “live”. CTech also employs Customer
Service and Help Desk staff to ensure superior customer service.
Senior management can also be contacted at any time.

What type of training do you
provide your medical transcriptionists?
CTech hires medical transcriptionists
with at least 2 years of current medical transcription experience.
Each MT is given at least three weeks of training to learn
an account and our transcription platform. We provide ongoing
training through feedback and team meetings.

How is your offshore staff
trained?
India is now overflowing with experienced
medical transcriptionists. CTech handpicks the best of the
best to work at our site. We are considered a premier employer
in India and therefore turnover is very low. Our domestic
management staff provides training and feedback.

Describe what background checks
are performed on all employees?
Each employee has reference, social
security and criminal background checks by a third party vendor
prior to employment.

How do you count lines?
CTech prefers to us the Net Line
(defined below), however we will also price per visual black
character and per report. For more information please see
our Billing section.
Price per NET/ASCII Line CTech defines a NET/ASCII Line as
65 printable alpha/numeric characters and spaces (no more
than two consecutive spaces). ASCII table codes 13 (hard carriage
return, only when needed) and 32-125 only. No fixed headers
or footers are counted. The pitch and font style are defined
by the client and do not impact the price per line. Attributes
such as bolded letters, italics, and underlined characters
are not charged. The total number of characters divided by
65 is the line count for the document.

How do you handle customer
complaints?
Each and every customer is our top
priority and if a complaint happens it is taken seriously.
Customer complaints are handled in a swift manner with open
communication and proper follow-up. At any time, members of

Do you have a quality assurance
program?
Yes. CTech follows a strict QA policy
as set forth by the American Association of Medical Transcriptionists.

What is HIPAA?
The Federal Government passed the
Health Insurance Portability and Accountability Act (HIPAA)
defining regulations to protect the confidentiality and security
of all electronic health information. All healthcare entities
must have met compliance by April 14, 2003 or face severe
civil and criminal penalties.

Is CTech HIPAA Compliant?
Yes. CTech has taken the necessary
steps to ensure security and confidentiality of all health
information that we handle.

Can you accommodate facilities
that only want dictation and/or transcription function?
Yes. This can be accommodated through
our ASP solution where facilities can retain their own medical
transcription staff and utilize our dictation and transcription
platform thereby saving scarce capital dollars. Price is charged
on per line basis.

Can you accept an ADT download?
Yes. We prefer standard HL7.
|
|
Can the client view the status
of a report?
Yes. Our transcription product allows
for this.
|

What type of audit trail functionality
exists?
The Crescendo product has the necessary
audit trails to render it HIPAA compliant.
|

Do you offer any reporting
tools?
Yes. Management reporting for turnaround
time, backlog and billing are functions given to clients through
our transcription product.

Can you accommodate different
turnaround times?
Yes.

Do you offer any short-term,
on-site medical transcription relief?
Yes. CTech offers a “come to you”
solution. We have seasoned medical transcriptionists that
will come on-site to your facility for as long or as short
as needed. This solution helps during peak times or when your
facility experiences a termination or an unexpected absence.
